The federal Family Medical Leave Act (FMLA) requires that Kelly Services provide unpaid, job-protected leave to
eligible employees for qualifying serious health conditions. There are some state laws which also mandate job
reinstatement rights, but with varying coverage, eligibility, and qualification requirements. It is the FMLA
Department-s job to manage the process of providing covered leave to U.S. Kelly temporary employees (KTEs)
while complying with these federal and state laws. The process includes interacting with and providing support to
the KTEs and their Kelly managers; providing written communication of the rights/responsibilities, approvals,
ineligibility, and other general information; reviewing the KTE-s medical documentation for approval; updating KSN
and the FMLA Origami data base; collaborating with HRKC, Benefits, and the legal department when necessary;
and keeping the process organized and compliant with the statutory mandated timeframe. There are
approximately 550 open cases currently active in the process.
Duties and Responsibilities:
Time Major Duties & Responsibilities
50% --Manage the leave process for KTEs from -other- branches (not part of the -Big 4-).
--Correspond with KTEs & Kelly managers throughout the multi-step process: from notification
and eligibility determination - through approval - to case closure. There are currently 156 open
cases for this category.
--Perform intakes; create cases and update Origami; collect, organize, and review the
certifications; determine approved leave, creating the KTE letters and emailing the managers;
respond to questions or issues that arise throughout the process; confirm return to work status
in order to close case.
--Provide support to Kelly managers with employment related issues, and escalate to Meredith or
HRKC if needed.
35% --Provide support for the management of the -Big 4- (Nissan 3547, TMMK 2867, NIH, and
KellyConnect) leave process.
--Finish the new case process for KellyConnect and NIH: completing the Origami portal case,
emailing the initial notification to the Kelly managers, & for NIH, also computing the eligibility
hours, creating the confirmation letter & form, and sending the paperwork out to the KTE.
--Collect & organize the incoming certifications from the Big 4 KTEs & add to the origami cases.
Created a shared folder to organize these documents and for easy access.
--Create and send the approval letters to the Big 4 KTEs after Meredith sends out the approval
email, adding the letter to Origami.
--Answer questions & provide support as backup for Meredith.
15% --Maintain the FMLA Origami database.
--Was a major contributor to the development and architecture of the FMLA data base, and am
continually tweaking and adding elements to improve reports, graphs, and views.
--Upload those reporting tools weekly to help better manage the case load.
--Reviewed and fixed hundreds of cases that were transferred over from SF (right after the
transfer and again a year later) - enabling the reporting function to reflect actual results.
--Daily input and updates into the Origami database: creating and completing new cases; adding:
letters sent to KTEs, submitted certifications, emails to Kelly staff, and general notes.
--Review and update letter templates, standard communications to KTEs and Kelly managers, and
other FMLA related internal docs, ensuring compliance as well as improved processes.
--Return phone calls delivered to the FMLA Hotline, & emails delivered to the FMLA mailbox -
providing the necessary action/response. Organized the FMLA mailbox into folders.
--Update the KSN FMLA box to reflect active leave status (clicked) or closed case (unclicked).
--Help with absence reporting (keeping track of intermittent time taken
