Pay Rate: $19.50/hour + 4% vacation pay

Location: Downtown Toronto, ON


The Program Administrative Assistant, Investment Solutions Network/Resident Investment Advisor is accountable for providing senior level administrative and operational support to the Nationally and Program Nationally Managers.

The Administrative Program Assistant monitors executives and their senior managers/team within large and diverse/complex business groups. Monitors and ensures that administrative and operational processes and control standards are followed while seeking to determine, develop, and participate in implementation of improvement opportunities. Provides related specialized support which can include managing smaller initiatives, developing management reporting, and acting as an administrative/operational control point for the department.

Key Accountabilities:

Professional support activities, typically including some or all of the following: (50%)

  • Provide administrative Professional support to the National Programs and HQ teams

  • Responsible for successful onboarding of the Financial Planning workforce & Sales force activities, including, processing hardware, software and welcome packages for new hires and ensuring working environment is equipped

  • Coordinate training requirements for workforce (booking, cancellations, confirmations etc.) and monitor progress and completion

  • Monitor the shared mailbox and reply to or direct escalations from the workforce

  • Develops communications, correspondence, presentations, including deciding on or recommending content.

  • Responds to related inquiries on the department’s behalf, or escalates for resolution as appropriate.

  • Assists and provides support with various projects to the Program Office to achieve the desired business outcomes, such as business process improvement initiatives, event planning, and office relocations.

  • Assists with planning and design of the specification of projects and programs and makes recommendations to achieve business goals effectively and efficiently

  • Prepares standard to complex correspondence, reports and presentations, ensuring completed material is produced in a timely manner.

  • Ability to handle a variety of requests at one time

Must-Have Skills:

  • 5- 7 years progressively responsible experience in an administrative/ professional support function in a fast paced environment, dealing with moderately to very complex issues and managing conflicting priorities.

  • Solid knowledge of bank financial processing standards, human resources policies, and key business processes, and good working knowledge of basic financial analysis methodologies.

  • Some understanding of project management methodologies.

  • Very good business knowledge and deep understanding of the processes, policies and procedures required for supporting the business unit, its functions and products, and customer groups.

  • A willingness and ability to learn new computer systems

  • Superb oral and written communication skills.

  • Advanced level PC skills (web browsers, email application, spreadsheets, word processing)
