HELP DESK SPECIALIST
Sitting answering phones formatting word and pdf documents. Things won't print, pdf issues, locating document.
Dictation equipment, cartridge changes, laptop issues, updating sw licenses. Must cater to attorney's
Must Have: 2+ years Law Firm Experience. As applications change this person will group train new apps, features, etc
Answering calls to the Help Desk and providing help to all staff regarding software, printers, and PC equipment problems. If necessary, notifies Level 2 Hardware/Operating System Manager of unresolved issues to seek a resolution. Maintains help desk software which includes, trouble logs of hardware and software problems. Average time 3.0 hours per day. Some days more, some less.
Responsible for maintaining database of inventory for all firm computer/PC equipment, phone equipment, dictation equipment, PC supplies (i.e., toner, diskettes, surge protectors).
Responsible for all equipment checkout (laptops-recharge batteries after use and run scandisk, cell phones, iPad, Macbook, projector and Verizon Mifi). Make sure they are in working order for the next checkout.
Responsible for updating all laptops and misc. equipment with virus definition files, software updates, etc.
Responsible for UPS Battery Back-up Inventory, Testing and Replacement Schedule.
Responsible for maintaining hardware warranty information.
Responsible for calling for replacement and/or repair of dictation equipment.
Responsible for dictation equipment for new personnel, install app on phone (set up secretary email) when needed and training.
Responsible for BackUp Drive Rotation Schedule.
Responsible for restoring documents from back-up.
Responsible for changing all electronic key pads for the doors to the office when necessary.
Responsible for all Toner Cartridge Replacement and Inventory for Printers.
Assist in moving PC/printer equipment when necessary, notifying Manager of Information Systems when maintenance is required.
Responsible for ordering IS Supplies: Tapes, CD, DVDs, Keyboards, Mice, chargers, charging cables, etc.
Setup Global Meeting ID’s for new Attorneys for conference calling.
Responsible for putting together and editing the quarterly newsletter, Just the Facts.
Responsible for converting some pdf documents to word.
Responsible for creating/maintaining database with regard to all firm software. Meaning make sure that each piece of software currently being used is put into Track-It and each time a new version is installed, update the database and become familiar with what enhancements the new version brings us.
Install updates for software at workstations, if necessary. Plus application updates for Adobe, Microsoft Office, Gems, Wealth Counsel, Workshare, etc.
Responsible for testing/training new secretaries on Firm systems. This includes:

Applications specific to Department:
New applications as they are added
Responsible for training attorneys, legal assistants, and staff on network as required.
Responsible for developing training materials such as exercises and visual displays and update as needed. Initial drafts are prepared by this person and reviewed and edited by IT Manager as needed.
Responsible for creating/maintaining firm forms. Coordinate forms.
Special projects such as: creating flow charts or organizational charts, Power Point Presentations, transparencies for seminars, setting up of overhead projector, ordering of other equipment if necessary.
Assist Information Systems Manager with any projects, including testing of new software, investigating specific problems, etc. and any other duties as assigned.
Responsible for Network Program groups out on the desktop and making sure that all firm applications are available to all users.
Responsible for updating and maintaining the Training Handout Resource that is available on the network to all users.
Responsible for updating the SK Intranet when necessary.
Must have 2+ years Law Firm experience.
Document management experience (most mid to large sized law firms have this as do most Perot employees); blacklining, redlining, track changes; troubleshooting
Formatting issues in Word (older version as we don’t have the new version yet); keeping the person on the other end of the phone calm.
May be called after hours but we do allow a person to trade time out – and they often call the Information Systems Director anyway if it is after hours
