This is a long-term opportunity with an industry leading chemical manufacturer in Seadrift, TX
File Administrator - Responsibilities
Approximately 70% of time maintaining and updating approx 5000 different equipment files (paper files are duplicated with a working folder, and all files also have an electronic folder).
Receive work order packages from planners and pull files associated with the jobs. These are placed in roll carts for the inspectors to sign out.
Maintain the equipment file sign in/out log- Add line items into each plants tab in the sign in/out log for folders added to roll carts. Ensure they are signed back in when returned.
Receive completed inspection reports, work with RBI Analyst to insure everything is complete. Scan in and name each report to be filed in electronic folder as well as making a copy for the working folder and filing the original hard copy.
Update the Master list with new inspection date and any changes needed as a result of the inspection. Create hyperlinks to all electronic files.
Receive, file, and copy inspection reports for rupture disks, and other miscellaneous equipment that is turned in from people outside this building.
Build files for all new equipment. (Create hard and electronic files and add all data to master list. New equipment documentation added to each of the newly created files.
Replace worn working folders and create labels for the new ones.
Periodically re-shuffle files to make room for growth.
Maintain archive files for each plant. Work with equipment owners, and Karl and Jeff to try and meet retention requirements.
Send inspection reports to plant focal points.
Help orient and answer questions for temporary inspectors such as on turnarounds, projects, etc…
Help orient and answer questions when we have inspectors come in for the 2.5 year inspections of all the equipment.
Approximately 20% of the time working with Corrective Action Tracking Tool.
Receive CARs from Jeff and Karl, then log them into tracker.
Print copies and add them to the equipment file.
Receive 30 day response from equipment owners. Then go in and replace the original CAR with this newly updated one in both hard and electronic files. Update tracking tool with owner response and a 30 day response met indicator.
Receive completed CAR from owners. Replace the old ones in the files with these new ones, and update the tracking tool with completion info.
Approximately 10% (remaining time) working on Misc Stuff.
Maintain building phone list.
Maintain Site Focal Point list.
Printing new drawings and P&ID’s from workspace for inspectors or others.
Ordering and maintaining supplies.
Answer questions about how to get reports ready to file; like attaching drawings to electronic documents, creating pdfs.
Help people with copy machine issues.
Send people reports and other documentation they might call for or request.
Maintain Master P&ID books. Keep them from falling apart and having Xerox put them on heavy card stock paper as needed.
Maintain the overall orderliness of the file room.
Make sure we have plenty of coffee and supplies.
HS Diploma or GED
2+ years of recent Admin/Office Professional experience
MS Office proficient
