Kelly Services Human Resource Coordinator in Moonachie, New Jersey
The Human Resources Coordinator will assist in the following areas under the supervision of the Sr. Human Resources and Benefits Manager.
Ensure all personnel data is entered accurately into HR/Payroll Profile database.
Review, make changes where necessary and approve time sheets on a weekly basis and update schedule of Paid Time off balances.
Manage payroll administration to ensure compliance with regard to ACA, FLSA/wage & hour requirements, wage garnishment, taxes, deductions including employee purchases of merchandise, movie tickets, stationary and any other personal usage of company services.
Enter any manual checks issued for payroll into JP Morgan Chase for positive pay and JD Edwards for financial record keeping.
Ensure timely and accurate processing of bi-weekly payroll to be submitted to the Sr. HR & Benefits Manager for approval.
Remit employee bi-weekly 401(k) contributions and loans to Principal in a timely and accurate fashion in accordance with all regulatory standards.
Remit employee bi-weekly Commuter Benefits to WageWorks in a timely and accurate fashion.
Complete reconciliation and journal entries for bi-weekly payroll.
Prepare monthly Hours and Earnings report for Director of Distribution showing both internal payroll and external agency employees including any credits for Work Order re-classed.
Prepare Benefits packages for all newly eligible employees.
Enroll and maintain all employee benefits elections with the various carriers.
Prepare schedules and censuses for benefits audits and renewals.
Administration of COBRA for all employees, including issuance of COBRA letters for all terminated employees if applicable, monthly invoices for COBRA participants if applicable, and ensuring that checks are received in a timely manner and coverage is extended/terminated accordingly.
Prepare and key all monthly medical journal entries.
File personnel documents on a regular basis, including employee resumes; written job offers; new hire documents; employee personal information; personnel change forms; payroll authorization forms; performance reviews/annual goals; employee incidents and warnings; etc.
Voucher all invoices related to Human Resources, Benefits and Facilities with corresponding cost center coding and submit to Finance for payment.
Download weekly and/or monthly reports for Commuter Benefits, Medical FSA, Dependent DCA and Cigna HRA debits and record into J D Edwards as needed.
Schedule maintenance and/or repairs for facility/security equipment by coordinating with appropriate parties internally and externally.
Along with Sr. HR & Benefits Manager, develop job postings, post job ads, and review all resumes as well as portfolios when applicable.
Assist in scheduling phone and face-to-face interviews with candidates; communicate and coordinate schedules with external recruiters as necessary.
Assist in Internship Program Coordination- design and fashion school postings, communication, attendance at internship and job fairs; Maintain records of intern applicants and all internship participants, internship evaluations, etc. throughout the year.
Assist in Performance Review Process - tracking progress of completed and pending performance reviews.
Research outside vendors as needed.
Fill in as coverage for Receptionist as needed.
Assist in various special projects and company events as needed.
Bachelor-s degree in Human Resources, Social Work or other related area.
1-2 years- experience in administrative role, preferably with emphasis on talent management; Adept at using technology software that supports HR administration tasks.
Exceptional interpersonal and organization skills; Detail-oriented problem-solver with strong EQ who can grow to be a mentor to new hires.
Outstanding communication, writing and listening skills with the ability to build trust, credibility with employees and maintain confidentiality and discretion at all times; Represent Echo values and principles in all interaction with others.
Excellent MS Office skills (Word, Excel, Outlook).
Excellent client service abilities that include discretion, timely response and accuracy at all times.
