Kelly Services Executive Administrator Operations Team Lead in Mississauga, Canada
As Executive Administrator TL, you will manage the Executive Administration team to ensure the team provides administrative support services to a global IT company’s Executive leadership team. This support includes, but is not limited to, scheduling, travel management, managing deadlines and commitments, providing support in business presentation consolidation of reports, social and internal events management, data collection and correspondence preparation, and expense collection and submission.
Executive Administration Job Responsibilities Include:
Provide proactive calendar management on an on-going basis.
Independently prepare correspondence and reports.
Review and summarize information submitted to VPs.
Manage emails/communications, identify critical levels of communications and the need for the Executive’s notification.
Follow up on deadlines and commitments to or from Executives.
Prepare the VPs for weekly, monthly and quarterly reviews, meetings & routines, including electronic documentation management and all information reporting.
Coordinate meetings, conferences and travel arrangements for Executives and VIP visitors.
Provide professional and confidential executive support.
Handle employee/customer requests and concerns with tact and diplomacy.
Prioritize the VP’s time against the highest impact activities.
Support the preparation of business presentations.
Plan, schedule and manage logistics related to meetings and conferences.
Lead or assist in the planning and facilitation of internal company and client events.
Record, transcribe and distribute minutes of meetings.
Perform general administration support for Executives which includes processing expenses, courier shipments, & copies.
Other tasks as assigned to support the business.
Executive Administration Operations Team Lead Job Responsibilities Include:
Ensure that operations are well-aligned to deliver all line items in the customer’s statement of Work (SOW).
Create a Service Level Agreement (SLA) with your sponsor to clearly document all expectations for the operation.
Manage resources to deliver results on time.
Own and publish organization and customer required metrics/KPIs monthly. Use metrics to improve the organization’s performance.
Ensure all organization members comply with the customer and Kelly-required training.
Manage and reward performance. Own performance reviews, write-ups, and bull’s-eye updates. Perform employee evaluations twice a year. Provide people/career/technical development guidance to staff.
Manage work time, paid time off, and sick leave.
Own and lead your staff’s weekly sync meeting to provide: coaching/mentoring, problem solving, metrics reviews (TPT/Quality/Cost savings).
Ensure teams meet all the client and Kelly guidelines and requirements, including the code of conduct.
Bachelor’s Degree in Business Administration or related field.
3 -5 years’ related support experience preferred.
Proficiency with MS Office (Word, Excel, PowerPoint, email).
Excellent verbal and written communication skills.
Attention to detail and organized.
Data entry with high accuracy and efficiency.
Enjoy working in a fast-paced environment with multiple deadlines.
Enjoy working as a team.
Fluent in both verbal and written English.
Experience in a leadership position an asset.
Details and Requirements:
Start Date: October 8 th , 2018
Monday – Friday
Business hours – approximately 40hrs/week.
Pay Rate: TBD
