Location: Case Western Reserve University

Hours: Varies: 25 - 40 hours a week

Pay rate: 15.00


  1. Primary provider of in-person customer service to after-hours clients. Serve as the on-site point of contact for client and vendor needs, with working knowledge of A/V, facility functions and center policies. Support operations for the Linsalata Alumni Center, including coordinating event logistics, vendor delivery schedules and last-minute client requests. Identify and coordinate required services for special events as necessary, including set-up, catering, audio-visual, parking and rental equipment. Perform minor clean up as necessary. (40%)

  2. Support communication and data efforts for members of the alumni team. Initiate and respond to communications for alumni and other external constituents. Perform general administrative and clerical duties as needed to support the team, including but not limited to: sending invitations and marketing pieces, preparing reports using the Advance database, coordinating mailing lists and event registration, creating nametags and rosters, and conducting alumni surveys. Develop and maintain a working knowledge of the constituent email management process. (35%)

  3. Maintain high standards of service and cleanliness on the first floor (public) areas of the building. Greet visitors. Provide directions. Receive and sign for deliveries. Monitor parking lot and ensure regulations are adhered to. Develop knowledge of upcoming and ongoing alumni events and programs. (15%)

  4. Oversee student workers as necessary in order to reinforce established event guidelines. Attend and participate in meetings and events and provide staff support. (5%)



Experience: 2 to 5 years of related clerical/administrative and/or customer service experience required. Event planning experience is highly desirable.

Education: High school education required; Bachelor-s degree preferred.

  7. Must be able to work in a fast-paced office environment and have the ability to prioritize and multi-task.

  8. Ability to maintain confidentiality in accordance with FERPA and university practice; professionalism, discretion and tact at all times.

  9. Ability to interact with and relate to diverse internal and external constituencies.

  10. Computer proficiency (including Microsoft Office, Mac iOS Google suite, and calendar system).

  11. Proficiency with A/V systems preferred. Knowledge of Advance a plus.
