Job Description

Kelly Services is seeking an Administrative Assistant that has experience working within regulatory guidelines (i.e. OSHA, EPA, Workers Comp) and understands said language. Desired candidate will also possess strong working knowledge of Microsoft programs (i.e. Excel, PowerPoint, Outlook, Word).

The Job Responsibilities of the Administrative Assistant are but are not Limited to:

  • Primary duties for the position include providing clerical and administrative support to Environmental Health Safety and Security (EHSS) Group.

  • Support the operations Team by updating associated procedure to include Quick Reference Guides, Consequence of Deviations Tables and Raw Materials Hazard Warnings.

  • Assist with scheduling waste shipments and associated documentation

  • Review inspections for clarity and provide summary reports in a timely fashion.

  • Provide support by updating EHSS Associated documents in preparation for EHSS Audits

  • Update Life Critical procedures as defined by the EHSS and Operations Team.

  • Entering and maintaining data in the EHSS Reporting systems and other duties related to the support of EHSS activities.

  • Updating SHEM 01 Document tracking system

  • Provide support for the RC 14001 internal Auditing process

  • Compile RMP / PSM Support Document (Binder)

  • Compile Title V Support Documents

  • Compile NPDES Support Documents

Requirements

The Desired Administrative Assistant Candidate Will Possess the Following Qualifications:

  • Associate Degree in Administrative Assistant, Office Assistant, Secretarial Science; or a related degree or a minimum of 5 years of experience in an Administrative Assistant or Clerical Role.

  • Strong aptitude with PC platform including demonstrated proficiency in MS Word, Excel, and PowerPoint

  • Demonstrated ability to prioritize and work within stringent deadlines.

  • Proven attention to detail and follow-up

  • High degree of independent judgment, commitment, motivation, integrity and confidentiality. Proven ability to handle and protect confidential information.

  • Proven communication skills with ability to work with all levels of organization and working with governmental agencies representatives.

  • Demonstrated analytical capability to run and understand basic reports

  • Flexible team player; ability to maintain a positive and professional communication style with a wide range of internal and external business contacts.

  • Superior organizational skills with proven ability to meet deadlines and set priorities in a rapidly changing work environment

  • Candidates may be required to demonstrate their knowledge and abilities of various software systems through testing

  • A general understanding of Health, Safety, Environmental and Security and documentation necessary for regulatory agencies is preferred.
